Engagement Letter — ACSP Identity Verification (Individuals)

1. Purpose and scope of this engagement
You have asked us to act as your Authorised Corporate Service Provider (ACSP) for the purpose of verifying your identity with Companies House, under the Economic Crime and Corporate Transparency Act 2023 and the Registrar's (Identity Verification by ACSPs) Rules. Our services under this engagement are:
- Collecting your personal data as required for identity verification;
- Facilitating a digital identity verification check (including facial matching and liveness detection) through our identity service sub-processor, TrustID, where you select the online route;
- Independently reviewing the outcome of the TrustID check, or, where you select the in-person route, personally examining your original identity document at your appointment;
- Submitting an Identity Verification Statement to Companies House on your behalf, confirming that we have verified your identity to the required standard;
- Confirming the outcome to you in writing; and
- Retaining records of the engagement as required by law.
2. Fee
Our fee for this service is £125, all-inclusive, based on the residency status you selected earlier in this application (UK-based director). Payment is due after you submit this application and before we open your identity verification link or confirm an appointment, and is collected securely online.
3. How your identity will be verified
You do not need to upload any documents through this application. Depending on the route you selected:
Online route — once your payment has been received, we will email you a secure one-time link to our identity verification partner, TrustID. Using your own smartphone or webcam, you will be guided through capturing your identity document and a short liveness/facial-matching check directly within TrustID's secure portal.
In-person route — you will attend a booked appointment at one of our offices (Bedford or London — Stratford), where a member of TAH staff will personally examine your original photo identity document. Simply bring the original document with you; nothing needs to be uploaded here.
If you are not resident in the United Kingdom, your identity document must be government-issued (for example, a passport). All documents must be seen in their original form — we cannot accept photocopies, or photographs of copies.
4. Your responsibilities
You confirm that:
- All information you provide to us will be true, accurate and complete;
- You will complete the identity check personally — it cannot be completed on your behalf by a third party;
- You will complete the identity verification check within 14 days of receiving your verification link, after which the link will expire (online route only);
- You will provide an email address that only you can access, as Companies House will send your personal verification code directly to this address; and
- You will notify us promptly of any change in your circumstances relevant to this engagement.
5. Data protection
Tax And Accounting Hub Ltd is the data controller for the personal data you provide. Our lawful basis for processing is the performance of a legal obligation arising under UK corporate transparency and anti-money-laundering law. Where biometric data is processed (for facial matching and fraud prevention), this is done under the substantial public interest condition of the Data Protection Act 2018.
We use TrustID as our identity verification sub-processor for digital checks. Companies House receives only your name, date of birth, home address, email address, and document type/reference/expiry/country of issue — it does not receive copies of your documents. Once your personal code is connected to your Companies House record, the public register will show your name, our firm name as your ACSP, our AML supervisory body, and the date your checks were completed — it will not show your documents or home address.
6. Record retention
We retain all records relating to this engagement, including failed verification attempts, for 7 years from the date the engagement is completed, after which they are securely destroyed. This retention period cannot be shortened at your request, as it is required by law.
7. Liability, confidentiality and termination
Our liability under this engagement is capped at the fee you paid (£125 or £175, as applicable to your case), except where liability cannot lawfully be limited. We will keep your information confidential, save where we are required by law to make a report (for example, under money laundering regulations) — we are not permitted to notify you if such a report is made. Either party may terminate this engagement by written notice; fees for work already completed remain payable. This engagement is governed by the law of England and Wales.
8. What this engagement does not cover
This engagement does not include: incorporating a company, appointing directors, other Companies House filings, connecting your personal verification code to your Companies House record (you must do this yourself once you receive your code), verifying the identity of any other individual (a separate engagement is required for each person), Register of Overseas Entities verification, or tax, legal or immigration advice.
9. Complaints
If you are unhappy with our service, please contact Kader Ameen, Director, at Kader@taxandaccountinghub.com. We will acknowledge your complaint within 5 working days and provide a full response within 20 working days. If you remain unsatisfied, you may escalate your complaint to the AAT.
